Receptionist / Office Manager
Location: Staines-upon-Thames (onsite, 5 days per week)
Day Rate: Circa £140–£150 per day
Contract Duration: 6-month ongoing contract, with potential to become permanent
Start Date: ASAP
 
Overall Role Purpose
This role is the first point of contact for the brand-new head office for a globally known logistics company in Staines. As Receptionist / Office Manager, you will ensure the smooth running of the front of house, greeting visitors and supporting facilities, as well as providing high-quality administrative support to the Senior Management Team (SMT) and broader office. This is a pivotal role in maintaining a professional and welcoming environment for staff and clients.
Key Responsibilities
Reception
  • Greet and sign in visitors, ensuring security and compliance protocols are followed.
  • Maintain a professional and organised reception area.
  • Manage inbound and outbound post efficiently.
  • Answer calls, transfer without delay, and take accurate messages.
  • Keep staff contact lists up to date.
Administration
  • Support diary management and travel bookings (flights, hotels, taxis, airport parking).
  • Co-ordinate meeting rooms, book facilities and set up monthly SMT calls.
  • Prepare presentations for meetings as required.
  • Support finance & HR admin (e.g. setting up new credit cards).
  • Undertake other general administrative tasks as directed.
Facilities
  • Oversee visitor car registration system.
  • Monitor stock levels and manage orders for office supplies and consumables.
  • Liaise with cleaning contractors to ensure standards are maintained.
  • Report suspicious activities to the SMT.
Person Profile
Essential Skills & Experience
  • Minimum 2 years in a similar Receptionist / Office Manager role.
  • Excellent organisational skills, proactive and able to manage multiple tasks independently.
  • High attention to detail and accuracy.
  • Strong written and verbal communication skills to liaise effectively with a diverse workforce and external visitors.
  • Confident using MS Office, particularly Outlook, Word and PowerPoint to an intermediate level.
Desirable
  • Previous PA experience.
  • Comfortable working alone at times, as reception is located separately from the main office.

  • Self-starter with a “can-do” attitude who takes ownership of tasks.
  • Personable, uses initiative, happy to get stuck in and support wherever needed.
